Executive Assistant 
Department or Section: Administration
General Responsibilities: The Executive Assistant is responsible for performing all administrative and secreatrial duties for the Executive Director; including, but not limited to: screening the Executive Director's phone calls, meeting and greeting all guests arriving in the reception area, typing correspondence, word processing, mailing items, and performing all administrative duties as required by the Executive Director. This position seeks to anticipate  the needs of the office and strives to streamline and increase the efficiency of the Executive Director.
This position reports directly to the Executive Director.
1. Minimum of four (4) years experience in executive assistant role.
2. Minimum high school eduation or equivalent. Collge, vocational or business school preferred.
3. Ability to follow directions with minimum instructions. Ability to work independently and with a team when necessary.
4. Excellent communication skills, both written and verbal.
5. Knowledgeable of general office computer programs. Able to troubleshoot general issues.

Operations Coordinator
Department or Section: Operations

General Description: Under the direct supervision of the Director of Operations, the Operations Coordinator performs all clerical & administrative duties as assigned for the entire Operations Department. Including but not limited to typing, filing, mailings, phone calls, correspondence, event postings, event planning, settlements, note taking, event signage, and direct scheduling of appointments for staff. Position will also assist Event Coordinators, as required, in all event-planning efforts necessary to meet customer needs. It is the responsibility of the Operations Coordinator, in conjunction with the Facilities Manager & Director of Operations, to oversee the Event Services program of the building, which includes trade show services, event logistics, business services, and shipping and receiving/ material handling. The Operations Coordinator will work cooperatively with the Director of Operations in a variety of ways in an effort to meet the overall goals and direction of the department.

Typical work routine includes, but not limited to:
  1. Administrative & Clerical duties as assigned by Department staff
  2. Meet and greet the clients and guests of the Classic Center in a professional manor whenever applicable and in all cases.
  3. Interact with functional unit heads and other Classic Center staff in a courteous, cooperative and professional manner.
  4. Plan, organize, and maintain a productive and efficient work schedule as assigned by the Director of Operations.
  5. Function as a liaison between users, service providers, and staff of the Classic Center.
  6. Notify staff of Operations staff meetings and locations, document meeting with minutes, follow up on staff assignments, and distribute minutes.
  7. Coordinate all trade show exhibitor needs through an existing system for advancing pre- event packets to incoming vendors. This involves advance and onsite correspondence, follow up, and accurate record keeping.
  8. Prepare documents, order and bid equipment and supplies as required by the Director of Operations.
  9. Initiate, process, track, record, assemble and responsibly maintain files and records for all purchase orders and for the Classic Center.
  10. Posts today’s events signage, keep database and related materials accurate and updated for the next days listing.
  11. Maintain and distribute current and past year’s event files for the department. This includes filing, administering, processing after Event coordinator’s completed, photocopying selected items, organizing materials for billing, and verifying contents.
  12. Assist in the maintenance and overall accuracy of the 4 week out event calendar.
  13. Serve as a primary point of contact for Operations when communicating to other departments within the Classic Center as well as any external vendors.
  14. Update, revise, and create department forms and documents.
  15. Assist the Director of Operations and Asst. Executive Director with budget management and expense accounting as needed.
  16. Oversee the sales, accounting, appearance and services of the Classic Center Business Center.
  17. Oversee the sales, accounting, and services of the Classic Center Shipping/Receiving & Material Handling divisions.
  18. Working directly with staff and clients in preparing event outlines, preparing scaled drawings of function space, coordination of equipment distribution, monitoring events, and event billing.
  19. Such other duties, functions, and special projects as assigned by the Director of Operations or Asst. Executive Director.
Qualifications & Skills:
  1. Minimum high school education or equivalent. College degree preferred with emphasis on business, computers, recreation or hospitality. Additional years of experience may serve as a substitute on the basis of two (2) year’s experience for one (1) year of college.
  2. Preferred at least one years’ experience in the administrative assistants/secretarial field, but not necessary.
  3. Ability to demonstrate competence in written & verbal communication.
  4. Ability to demonstrate competence and experience in computers and software. Typing skills are desired.

Lead House Guard (Full-Time Position)
General Description: This position provides leadership within our in-house security team at the facility. The House Guards survey the premises during their respecitve shift and are also responsible for additional duties during emergency procedures. This position reports directly to the Security Supervisor.
  1. Assist visitors and serve as concerned public relations representative.
  2. Protect personnel on the premises.
  3. Serve as deterrent to person's intent on committing criminal acts. Protect proprietary and classified information. Look for and report potential hazards. Restrict access to unauthorized people.
  4. Observe and take immediate action to use of illegal drugs and inappropriate consumption of alcohol.
  5. Monitor materials leaving the facility, helping to ensure that company property does not leave without proper authorization.
  6. Assist the Security Supervisor with ensuring proper staffing levels are maintained at each event.
  7. Work with management to collect, sort and review incoming House Guard resumes.
  8. All other duties as assigned.

  2. Customer service skills, experience in team oriented environment
  3. This position requires frequent walking around the facility, and lifting of materials up to 50 lbs.
  4. Able to see, hear and write in English.

Ticketing Supervisor (Part Time)
This position is to provide leadership and administrative support to/within Box Office and Theatre department, including but not limited to ticket sales, for both Theatre and Classic Center events, supervision of PT Ticketing Representatives, Theatre event management and other duties as assigned. This position reports directly to the Ticketing Services Manager and Assistant Theatre Manager.

Event Coverage Guard
This position is a part-time position (approximately 10 to 25 hours per week, depending on events) scheduled though The Classic Center Security office. This position will be responsible for the safety and security of the patrons, guests and employees of The Classic Center during various events that require extra security guards to maintain safety at the facility.
